Description

The Research Computing Project Office is seeking an Administrative Assistant motivated to support our mission and who is interested in further developing their administrative and project management skills. This is a part-time, in-person position.

The role provides support to the Project Office which handles coordination, scheduling, communication, and reporting for the group and the Center for High Throughput Computing (CHTC). These activities help the project office support nationally-prominent activities such as the PATh and Pelican projects; a successful candidate will be deeply engaged with both.

Through mentorship, the work will provide exposure and opportunities to learn additional project management skills and the basics of both pre- and post-award grant management. These skills are in strong demand and provide for future opportunities in the academic setting. To be successful at the position, the applicant needs to be comfortable with managing changing priorities, meeting short-term deadlines, and paying attention to details.

Primary Responsibilities

  • Meeting Coordination: Takes meeting notes and tracks action items for the research group across a range of projects. Provides support, communication, and follow-up to assist in the execution of tasks.
  • Calendar Management: Coordinates and organizes calendars and meetings for a range of projects by scheduling, creating agendas, reserving rooms, and inviting attendees.
  • Event Planning: Assists in planning and execution of meetings, conferences and external outreach events. Provides support in the communication and organization of catering, hotels, event space vendors and other related event logistics.
  • Expense Reporting: Completes expense reports of Project Office expenditures and travel reimbursements.
  • Reporting: Assists the project office staff in the documentation, financial management, and reporting requirements related to sponsored activities.
  • Data Entry: Manages simple data entry in project databases and spreadsheets.
  • Other miscellaneous duties as required

Education and Experience

  • Bachelor’s degree required.
  • One year of office experience preferred.
  • Experience working in an academic or research setting preferred.

Knowledge, Skills and Abilities Required

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is required.
  • Strong organizational, multi-tasking, and time management abilities are required.
  • Demonstrated ability to write and communicate in a professional setting is required.
  • Proficiency with project tracking applications, such as Jira or GitHub, is preferred.
